Summary Batch Review

Use the Summary Transaction Desk in Current Period to review and post an existing Summary batch. A Summary batch is review state, not posted accounting and not formal report truth.

Current desktop boundary

The current desktop can display existing batches, append a line to the first prepared preview, show readiness and posting checks, approve and post an eligible staged batch, post or retry an eligible ready batch, and open a posted result.

It cannot select or stage an accounting file, create domain-specific Sales, Purchasing, Inventory, or Finance facts, decide possible duplicates or intake conflicts, resolve a held batch, replace evidence, edit or remove preview lines, or abandon a batch. Those service capabilities are not current operating procedures.

Open and identify a batch

The queue prioritizes batches that need attention. Choose Open beside the required SA- batch. Confirm:

  • batch number, status, Summary type, source system, and external event;
  • source date range and target period;
  • evidence references;
  • prepared accounts, descriptions, debit and credit amounts, and currency;
  • validation issues and the compact why-not-ready explanation;
  • readiness and posting check;
  • next action and any earlier posting outcome.

Use the Summary Register when you need the full period-scoped list. Choose Details to load the read-only workflow, evidence, posting-result, and audit information into Support Detail.

Understand the next action

BooksPlus derives the primary action from the batch's current state:

Displayed action Meaning
Review, Review Blockers, Review Conflict, or Review Failure Open Support Detail. The current desktop does not resolve the underlying hold, conflict, or failed preparation automatically.
Approve and Post The staged batch has no blocking readiness issue and its prepared accounting passes the posting check. BooksPlus first marks it ready and then posts it through central Accounting.
Post The batch is ready and its prepared accounting passes the posting check.
Retry Posting An earlier posting attempt failed, the batch remains ready, and the current posting check passes. Review the prior outcome before retrying.
View Posted Entry Posting is complete. Open the linked JE- entry in Support Detail.

A warning requires review but does not automatically block readiness. An error blocks readiness. A primary Review action means posting is not currently offered, even if the persisted batch status says ready_to_post.

Append a missing prepared line

The Prepared Accounting area provides one limited repair: append a line to the first prepared preview.

Use it only when the approved source and accounting meaning clearly establish that the existing preview is missing that line:

  1. Select the account.
  2. Enter either the debit or credit amount, the company currency, and a line description.
  3. Choose Add Line.
  4. Re-read the complete preview, totals, readiness, and posting check.

This action replaces the prepared-preview version through an audited service; it does not post. It cannot edit or delete a wrong line, add evidence, resolve a conflict, or repair a domain fact. If the existing preview meaning is wrong or uncertain, stop instead of balancing it mechanically.

Approve and post

Before choosing Approve and Post, Post, or Retry Posting, verify:

  • the selected SA- batch and source activity;
  • active supporting evidence;
  • at least two prepared lines using eligible same-company accounts;
  • equal debits and credits in the company reporting currency;
  • an eligible posting date and target period;
  • no unresolved readiness error; and
  • the expected posting outcome.

On success, the desk shows the JE- result and refreshes the workbench and Ledger. Choose View Posted Entry, then use Ledger Review to inspect the full entry and its lines.

If the action fails, keep the displayed message and review Support Detail and Exceptions. Do not change the database, recreate the batch, or post the same accounting manually as a workaround.

File intake is unavailable

BooksPlus has governed import-run and candidate services, but the desktop has no supported file picker, intake register, routing review, or duplicate and conflict decision screen. A file, import run, or unposted Summary batch is not formal accounting truth. Only the resulting posted journal entry affects the Ledger and trial balance.
